What are your fees?

During 2024 our Session Fees are:

Before School Care

Permanent Bookings $24.00 per session
Casual Bookings $26.00 per session

After School Care

Permanent Bookings $34.00 per session
Casual Bookings $36.00 per session

Vacation care/Pupil Free Days

Daily session fee $75.00
Excursion bus fee $10.00

How do I pay?
The only payment option available is by using Direct Debit from either your bank account or credit card. The Direct Debit charge occurs fortnightly on Tuesdays.
What are the “extra fees” I could be charged for?
$80Annual Family Enrolment Fee paid upon first booking for each calendar year.
$10Account Service fee if the account is unpaid 14 days after charging.
$5Per week, each week, an account remains unpaid.
$10It's a parents/guardian’s responsibility to sign their children out via their own PIN, by using the QK Kiosk through the tablet provided at the Centre. If a child is not signed out this fee is applicable per child.
$10It’s a parents/guardian's responsibility to inform us if a child is not attending on any given booked day. Should your child be on the attendance roll and OOSH Northern Beaches has not been notified of a non-attendance and a telephone call has to be made to confirm your child’s whereabouts, this fee is applicable.
$2Re-booking/cancellation fee. To change any booked days or add extra days.
$20The collection of any child after 6pm (or after your centre closes) will incur a late fee of $20.00 for every 10 minutes, or part thereof. This fee will be added to your account and charged in the next charging cycle.
How do I apply for Child Care Subsidy (CCS)?
To receive the Child Care Subsidy (CCS), it is the parent’s/guardian’s responsibility to create or access their Centrelink online account via www.my.gov.au to lodge a Child Care Subsidy Claim for their child, if they meet the eligibility requirements. The parent/guardian must provide OOSH Northern Beaches their date of birth and Customer Reference Number (CRN) plus the date of birth and CRN for each child they are enrolling (CRN’s are unique to each individual) so their child can be enrolled with Centrelink for CCS purposes. The parent/guardian must confirm their child’s enrolment with OOSH Northern Beaches through Centrelink, via myGov, before the Child Care Subsidy will be paid by Centrelink, otherwise full fees will apply.

Bookings/Absences/Cancellation

How do I make/cancel a booking?
Any new or amendment to permanent bookings must be requested online through the parent portal in “My Family Lounge” (QK Enrol) by logging in via our website at ooshnb.com.au (this cannot be done in the MFL phone app) with at least 14 days’ notice prior to the commencement date of that change, otherwise you will only be able to mark your child absent and fees will still apply.

Alternatively contact can be made to Head Office via email at [email protected] with at least 14 days’ notice. Informing a staff member verbally is considered a courtesy and does not constitute notification.

What do I do if my child/ren are unwell or unable to attend?
It is essential and the parent’s responsibility to advise whether their child will be absent from the Centre on a day they are booked in and not our responsibility to telephone to confirm a missing child’s whereabouts, there is an additional charge if staff are required to follow up a non-attendance which we haven’t been advised of. It is not sufficient to advise the school that your child will be absent.

You must mark your child absent from After School Care through your My Family Lounge account prior to 2:30pm. After this time, or in an emergency, a message must be left on the Centre’s direct number. Alternatively you can contact Head Office on 02 9984 8089 or via email at [email protected] but on the day of a non-attendance your message may not be forwarded on to the Centre in time as there can be times when Head Office is not monitored all day.

Do I need to pay for sick/absent days?
As a general rule, we do not give “credits” for days not attended. Should your child not be attending, for example student camps, holidays etc, 14 days prior notice in writing to [email protected] is requested otherwise payment will continue for these days.

If your child is away from Kids Club due to illness for 3 consecutive days and you are able to provide a doctors certificate within 7 days, please contact Head Office on 9984 8089 or [email protected] to discuss a credit on your account.

How do I make/cancel a casual booking?
Casual booking must be requested online through the parent portal in “My Family Lounge” (QK Enrol) by logging in via our website at ooshnb.com.au (this cannot be done in the MFL phone app). Repeat Casual Bookings will be considered as permanent bookings and will be required to change to permanent bookings. Any cancellation of casual bookings must be made through the parent portal in “My Family Lounge” (via the phone app or online through our website) with not less than 14 full days’ notice in writing to [email protected], otherwise you will only be able to mark your child absent and fees will still apply.

What do I do if I need an urgent casual booking?
Don’t worry – you can book your child in casually through your My Family Lounge account, subject to availability. In an emergency simply phone your relevant Kids Club Centre to arrange a booking. Alternatively you can call Head Office on 9984 8089 or email [email protected], however Head Office may at times not be monitored all day. If your child is not aware of the arrangements it is the parent’s responsibility to then ring the child’s school to let them know that your child needs to attend ASC.

Do I pay if I cancel my booking?
As a general rule, we do not give refunds or credits for days not attended. Should your child not be attending, for example student camps, holidays etc, 14 days prior notice in writing to [email protected] is requested otherwise payment will continue for these days.
If I’m running late, what do I do?
Staff are employed till 6:00pm, so if you think you will be late, please call the staff on the Centre number. A staff member will stay with your child for the the extra time. You will be charged $20 per 10 minutes or part thereof.

What if my child/ren forgets to go After School Care?
We have a list of children enrolled for the day and the Kindy class teacher has a weekly roll to remind each child. Initially, a staff member waits outside the Kindy classrooms to collect the Children and walk them to the kids club.

As the children’s confidence grows, staff will watch the kids walk the short distance to the kids club and we conduct a roll call immediately to account for everybody. We will call you immediately if there is any problem. It is a good idea to tie a ribbon to their bag to remind them on the days they should be attending or use the ‘OOSH bands’ and place it around your child’s wrist.

Vacation Care/Pupil Free Days

How do I enrol in Vacation Care/Pupil Free Days?
Vacation Care rolls are opened for booking in Week 7 of the preceding term and all Vacation Care bookings are subject to availability as our program tends to fill up very quickly. OOSH Northern Beaches cannot be held responsible if you do not receive a place on your choice of day.

Do you have a waitlist for Vacation Care/Pupil Free Days?
We do not operate a waitlist for Vacation Care bookings as changes can be made by other parents through their My Family Lounge account at any time of the day or night so it is the parent’s responsibility to monitor the casual booking calendar for any vacancies that may occur if they have originally missed out on their choice of day.

How do I cancel my Vacation Care/Pupil Free Day booking?
Any cancellation of vacation care/pupil free day bookings must be made through the parent portal in “My Family Lounge” (via the phone app or online through our website). No cancellations for vacation care/pupil free day is available,  you will only be able to mark your child absent and fees will still apply.

Child Care Subsidy (CCS)

What is CCS?

The Childcare Subsidy (CCS) commenced on 2nd July 2018 and replaced both the Child Care benefit (CCB) and Child Care Rebate (CCR).

The Government assists eligible families with their childcare fees by making a payment directly to the service (in the form of CCS) that is passed on as a fee reduction (visible on a family’s statement). Families are then required to pay the difference between the fee charged and the subsidy amount – the “GAP”.

What is CRN?

A CRN is a ‘Customer Reference Number’ Centrelink uses to identify your personal record. A CRN is a 9 digit number and ends with a letter.

Am I eligible for CCS?

The basic requirements that must be satisfied for an individual to be eligible to receive CCS for a child, include:

  • The child must be 13 year old or younger and not attending secondary school
  • The child must meet immunisation requirements
  • The individual, or their partner, must meet the residency requirements

To determine the CCS percentage and number of eligible hours/fortnight you will be entitled to, Centrelink reviews and assesses:

  • Family income
  • Results of an Activity test – The combined hours of Approved Activity completed each fortnight (ie work, training, study, recognised voluntary work or other recognised activities)

The number of hours the family is entitled to is based on the individual with the lowest activity test results.

  • Type of childcare service (OSHC), which determines the hourly rate cap

How do I apply for CCS?

You will need to lodge a Child Care Subsidy Claim via the MyGov website

If you do not have a MyGov account, you can create one using Create a myGov account

If you don’t receive confirmation of your CCS Assessment, please contact Centrelink 136150.

It is the parent’s/guardian’s responsibility to create or access their Centrelink online account via www.my.gov.au to lodge a Child Care Subsidy Claim for their child, if they meet the eligibility requirements. The parent/guardian must confirm their child’s enrolment with OOSH Northern Beaches through Centrelink, via myGov, before the Child Care Subsidy will be paid, otherwise full fees will apply.

How do I claim CCS through the Centre?
  1. Agree to the Complying Written Agreement (CWA)– The CWA is the agreement between OOSH Northern Beaches and you which is part of your enrolment process. PLEASE NOTE: The Guardian on the enrolment MUST be the parent who has been assessed for CCS.

For OOSH Northern Beaches to make a link with Centrelink, the following information must be provided as part of the enrolment (or shortly after):

  • Parent/Guardian registered to receive CCS
  • Parent/Guardian CRN and DOB
  • Each child’s CRN and DOB
  1. OOSH Northern Beaches will submit a CCS Enrolment Notice to Centrelink, providing the above pieces of information, along with the typical pattern of attendance, fees and session hours.

This will update your child’s CCS Enrolment status to one of the below:

Pending Eligibility

This usually means either:

  1. You have not completed the CCS application in its entirety, as yet OR
  2. You have completed the CCS application however Centrelink is still assessing this or it has been cancelled OR
  3. The CCS Application has been completed under a different name other than your name OR
  4. You may need to re-apply for CCS with Centrelink as it has been more than 6months since the last attendance. If this is the case, when you log into your MyGov account you should be able to “make a claim” to reapply

ACTION REQUIRED:

  • Review and determine the reason for the CCS Status being Pending Eligibility and address this reason.

Received

 This means enrolment information has been sent to CCS however there is some information that is either missing or doesn’t match with Centrelink records. This is usually the CRN and/or DOB for the claiming parent or child.

ACTION REQUIRED:

  • Review the information provided and advise OOSH Northern Beaches of any updates

Pending Confirmation

Enrolment information has been sent to CCS and the information supplied match the Centrelink system. There is now a requirement to confirm the CCS Enrolment

ACTION REQUIRED:

  1. Log into your MyGov account
  2. Select Centrelink
  3. Click on the Menu (3 bars top left of the screen)
  4. Expand Child Care
  5. Select Enrolments – check all your children have an enrolment status of Confirmed. Action any that don’t by clicking on “View Details”, checking the details and confirming these by selecting “Yes”, and “Next”, then accepting the declaration and submitting.

Centrelink will automatically advise CCS % reduction and number of fortnightly hours to the service administrators (+ withholding percentage)

What happens to my CCS if my child is absent?

If your child is absent, CCS is still payable but only for up to 42 absences for each child, per financial year.  Please note: this number is not per claimant if you have a split family account.

In special circumstances, you may get CCS for more than 42 absence days, if supporting documents have been provided.

No CCS is payable however for any session of care that occurs:

– after the last day a child physically attended care, or

– before the first day a child physically attended care

Why is my child’s CCS enrolment ‘Ceased’?

When there has been no attendances for 14 Weeks, Centrelink will automatically update the Child’s CCS status to ‘Ceased’.

When Centrelink updates an enrolment to Ceased, they review the child’s submitted attendances/child’s last physical attendance at the service. Where CCS has been paid, Centrelink will automatically recover any CCS paid for absences after the child’s last attendance.

OOSH Northern Beaches will send a new CCS enrolment to Centrelink, either the week prior to or the beginning of the week bookings recommence.

You will need to log into your MyGov account and confirm the new CCS Enrolment. This can be done by:

  1. Selecting Centrelink
  2. Clicking on the Menu (3 bars top left of the screen)
  3. Expanding Childcare Subsidy
  4. Clicking on Enrolments – Confirming each child’s CCS enrolment.

General

What are the hours of operation?
Mornings our Centre opens at 7am. A light breakfast is served until 8am and are open until school starts. Afternoons run from when school finishes and all children are to be picked up by 6:00p.m. Staff are employed till 6:00pm, so if you think you will be late, please call the staff on the Centre number. A staff member will stay with your child for the extra time. You will be charged $20 per 10 minutes or part thereof.

What do I need to pack?
Please make sure your child has a hat and drink bottle. We have the same school policy “No Hat, No Play”. If your child has a specific sunscreen or food requirement you are welcome to pack these too, please make sure you tell your centre if you provide these.

Can I receive updates about what my child/ren are doing?
Absolutely, each Kids Club centre has its own private Facebook page. If you are unable to find your centres Facebook page please ask the Centre directly for the link.

What do I need to do if parents are separated?
A separate My Family Lounge account will be required by each parent. Please call Head Office on 02 9984 8089 or email [email protected].

In shared care arrangements (where separated parents both claim Child Care Subsidy for the child’s care), the allocation of 42 absences relates to the child, not to each individual claimant.

What are your staff qualifications?
A minimum of one staff during each shift will have a current Identify & Report Children & Young People at Risk Certificate (CHCPRT025) and a current Provide an Emergency Response in Education & Care Setting Certificate (HLTAID012). Many of our staff are also currently studying education and child services at university.
